Simplified Business
Privacy policy
Last updated 29 October 2026
This policy explains what personal information [Company legal name] (“we”) collects when you use Simplified Business, why we collect it, and the choices you have.
The records a business keeps in Simplified Business, such as its customers’ and suppliers’ details, are entered and controlled by that business. We store and process them on its behalf.
1.What we collect
- Account details: your name, email address, mobile number and password. We use the mobile number only to reach you about your account. Passwords are stored only in a scrambled (hashed) form that we can’t read back.
- Business details: business name, address, phone, email, NTN and STRN, and the people you add to your team with their roles.
- Your books: what you and your team enter, such as customers, suppliers, products, quotations, invoices, bills, payments and bank account details.
- Plan payments: the plan, amount, payment method, transaction reference and date. Card payments are handled by our payment partner; we don’t receive or store full card numbers.
- Security and usage information: when people sign in, a log of changes made in your books, and technical details our servers record, such as IP address and browser type.
- Messages: anything you send us when you ask for help.
2.How we use it
- to run Simplified Business for you: signing in, keeping your books and producing reports;
- to take and confirm payments for your plan;
- to answer your questions with the AI assistant, when you use it;
- to keep accounts secure and to prevent fraud and misuse;
- to contact you about your account, payments and important changes;
- to meet our legal obligations.
We don’t sell your information, and we don’t use your books for advertising.
3.The AI assistant
When you ask the assistant a question, we send your question, your name, role and business name, and the figures needed to answer it (for example invoice totals or customer balances) to the company that provides the AI model: Anthropic (Claude) or Google (Gemini). It processes them to produce the answer. Under Anthropic’s commercial terms and Google’s paid Gemini terms, they aren’t used to train the models; under Google’s free Gemini terms, Google may use them to improve its products.
We never send passwords or payment card details. If you don’t use the assistant, nothing is sent.
4.Booking a demo
When you book a demo we keep your name, phone number, and, if you give them, your email, business name and notes, to arrange and hold the call. Only our team sees them, and we don’t use them for anything else.
6.Where it’s stored
Your data is stored with our hosting provider. Some of our providers, including the AI provider, may process data outside Pakistan; we only use providers with strong security commitments.
7.How we protect it
- Everything between your browser and our servers is encrypted (HTTPS).
- Each business’s records are kept apart at the database level, so one business can never see another’s.
- Access inside a business is limited by role, and changes are recorded in an activity log that can’t be edited.
- Our staff’s access is limited to what they need.
9.How long we keep it
We keep your data while your account is open. If you ask us to close it, we delete or anonymise your data within 90 days, except records we must keep by law, such as our own billing records.
Your books are your business records. Download what you need before closing, as tax law may require you to keep them for several years.
10.Your choices
You can:
- see and correct your details in Settings;
- print or download your reports at any time;
- ask us for a copy of your personal information;
- ask us to close your account and delete your data;
- ask us any question about how we handle your information.
Email [support@yourdomain.com] and we’ll reply within 30 days. If you are a customer or supplier of a business that uses Simplified Business, please contact that business first; we’ll help them answer you.
11.Children
Simplified Business is for businesses and isn’t meant for anyone under 18. We don’t knowingly collect children’s information.
12.Changes to this policy
We may update this policy. If a change matters, we’ll tell you by email or in the app before it takes effect.
